Time Your Conference Well

Time your conference so that it does not overlap with important events in your community or the community where it will be held. This will prevent difficulties with over booked rooms or a lack of lodging for your speakers and guests. Holidays are also busy travel times, so try to plan around these.

Consider Room Size

While it is impossible to accurately predict exactly how many people will attend a conference or a particular session, try to get an idea. You need to choose the right room size to comfortably accommodate the audience members. Too big of a room will make the audience feel uncomfortable and make the speaker’s job more difficult, and too small of a room will impact the comfort of your guests, possibly even turning some away.

Decide on the Use of Technology

Some speakers are going to need projectors, screens, laptops or other pieces of technology for the presentation. Not all rooms will be equipped with these. Find out ahead of time what technology is available at the location and which rooms are equipped, and place your speakers in the rooms accordingly. Always confirm the day before the event that the technology that you need is in the room ready to go.

Trying to manage room assignments, technology needs and the other aspects of managing the rooms for your conference becomes overwhelming quite quickly. To help yourself out, use meeting room software. This will have the spreadsheets and other tools you need to plan for audience size, technology needs, scheduling, and even last minute changes. If the software is Internet based or Internet connected, you can even use it to broadcast any changes to those who need to know.

Don’t Forget the Food

Having food available is often important, particularly if the sessions are long. Consider hiring a caterer or arranging for a few snacks and beverages to be placed in each room. This will help your attendees feel more comfortable and stay focused throughout the sessions they attend. Often the venue where you host your conference will have these options available to you.
